Returns

Use Sales > Returns to record the items that a customer returns. A return records item quantities. Use a credit note to credit the customer.

Find a return

  1. Open Sales > Returns.
  2. Search by return number or reference.
  3. If necessary, select a status in Filter by status.
  4. Select the return row to examine its lines.

Create a return

  1. Select New return.
  2. In Source, select Sales order or Invoice, if applicable.
  3. Select Customer, or do a check of the customer copied from the source.
  4. In Return lines, select Item.
  5. Enter Qty for the quantity that the customer returns.
  6. Select Condition for each line.
  7. Select Destination for each line.
  8. Enter line Notes, if necessary.
  9. To enter more items, select Add line.
  10. In Defaults, enter External reference, if applicable.
  11. Enter Notes, if necessary.
  12. Select Save draft.

Selecting a source document fills the form with its customer and lines. Examine the quantities and remove lines that the customer does not return. Convexity assigns a return number when you save the return.

You can also start a linked return with Create sales return from an order or issued invoice.

Open and receive a return

Before you receive the return, examine each quantity, condition, and destination. Receiving adds the returned quantities to stock at the selected destinations. The condition determines the line's inventory status. A damaged or scrap condition does not remove the need for a destination.

  1. In the draft form, select Save & open.
  2. In the return list, find the open return.
  3. After the items arrive, select Receive.
  4. Make sure that the status changes to RECEIVED.

For an existing draft, you can select Open in its row actions. Saving or opening a return does not receive its items.

If receipt fails, examine the line quantities and destination locations. The destination must be active and valid for the project. The system can reject quantities that are more than the quantities available to return.

Close a received return

  1. Find the received return.
  2. Select Close.
  3. Make sure that the status changes to CLOSED.

Closing completes the return's document workflow.

Change or cancel a return

To change a draft, select Edit in More sales return actions. Save the draft after you change its lines or details.

To cancel a draft or open return, select Cancel in More sales return actions. The status changes to CANCELLED. Received and closed returns do not have this cancellation action.

Credit the customer

  1. Open More sales return actions for the applicable return.
  2. Select Create credit note, when available.
  3. Examine the copied quantities and prices.
  4. Complete the credit note procedure.

Receiving a return does not automatically apply a credit to an invoice.
