Fulfill a sales order
Use Fulfillment to pick, pack, and dispatch items from a sales order. You can save progress before dispatch.
Start fulfillment
The order selector shows open sales orders for warehouse fulfillment. Dropship orders do not appear in this selector.
- Open the project.
- Open Warehouse > Fulfillment.
- Select Start fulfillment.
- In Sales order, select the order.
- In Warehouse, select the warehouse.
- Do a check of the customer and Ship to address.
The form loads the quantities that remain to be fulfilled. If a fulfillment is already active for the order, open that fulfillment from the list.
To find an existing document, use Search fulfillment. Select the document to continue its work.
Pick the items
- Before the first save, set Requested to the quantity included in this fulfillment.
- For each requested item, select Location.
- Enter the quantity collected in Picked.
- Do these steps again for the other items.
Before the first save, set Requested to zero for items that this fulfillment does not include. After the first save, the requested quantities and warehouse are read-only.
The location must belong to the selected warehouse. Use Pick all only when you collected every requested quantity. This action copies Requested into Picked.
The quantity fields use the displayed line unit. Reserved shows the saved reservation for the line. Saving a new fulfillment reserves its requested quantities, even before picking starts.
For a partial shipment, enter only the quantities that you will dispatch in Picked and Packed. The remaining sales order quantities can be fulfilled later.
Record packing
- Pack the picked items.
- Enter the packed quantity in Packed for each item.
- If all picked items are packed, select Pack all instead.
Pack all copies Picked into Packed. Before dispatch, picked and packed quantities must match on every line.
Complete shipping details
- In Shipping details, select Shipping address.
- Enter Carrier, Service, and Tracking number, if applicable.
- Set Expected delivery, if applicable.
The shipping address is required for dispatch. Carrier details do not purchase a shipping label or book transport.
Save progress
- Select Save progress.
- Make sure that the document shows Saved.
The saved fulfillment records the picked and packed quantities and shipment details. Saving progress does not dispatch the shipment. You can open the document again to continue.
If you changed On hand, saving can also post stock adjustments. Use the procedure below to examine those changes.
Correct an on-hand count
On hand is the total stock count at the location. The count must include picked units that have not been dispatched.
- Enter the correct total in On hand for the item and location.
- Select Save progress.
- In Confirm stock adjustments, compare the previous and new counts.
- Select Confirm and save to post the stock adjustments.
If the counts are incorrect, select Cancel and correct the values. The adjustment uses stock units, even when the fulfillment line uses another unit.
Dispatch the shipment
Dispatch completes the fulfillment and its shipment. For stock managed in Convexity, dispatch reduces on-hand stock at the source locations and releases the fulfillment reservations. For externally managed stock, the connected system supplies stock balances.
- Do a check of the shipping address and source locations.
- Make sure that at least one item has a picked quantity greater than zero.
- Make sure that Picked equals Packed on every line.
- Select Dispatch.
- If Confirm stock adjustments appears, examine the counts. Select Confirm and dispatch to accept the adjustments.
- Make sure that the document shows Completed and Shipped.
The completed document is read-only. Use Print to print the fulfillment document, if applicable.
If dispatch is unavailable
Do a check of the shipping address, warehouse, locations, and picked and packed quantities. Resolve the error shown on the form before you retry.
If a pick run holds the document, the form shows the hold. Wait until the pick run finishes or its hold is released before you change or dispatch the fulfillment.
