Fulfill a customer order
Use this workflow when you sell items from warehouse stock. The result is a dispatched shipment and a customer invoice with its payment recorded.
Record the order
- Open Sales > Orders.
- Select New order.
- Select the customer and addresses.
- Enter the items, quantities, and prices.
- Do a check of the warehouse, currency, dates, and total.
- Select Save and open.
For the complete procedure, see Create a sales order. Opening the order does not dispatch its items.
Pick, pack, and dispatch
- Open Warehouse > Fulfillment.
- Select Start fulfillment.
- Select the sales order and warehouse.
- Set the requested quantities and source locations.
- Record the picked and packed quantities.
- Select the shipping address.
- Select Save progress if you will continue later.
- When the shipment is ready, select Dispatch.
Follow Fulfill a sales order for partial shipments and dispatch checks. Saving a new fulfillment reserves the requested quantities. Dispatch completes the shipment and reduces stock managed in Convexity.
Invoice the shipped items
- Return to the order in Sales > Orders.
- Open the order action menu.
- Select Create invoice from shipped quantity, when available.
- Examine the copied quantities, prices, dates, and total.
- Select Save & issue.
See Invoices for invoice details and other source options. Issuing the invoice does not collect the customer's payment.
Record the payment
After you receive payment, open the invoice and select Record payment. Enter the date and amount, then save the payment. Follow Record a payment for the complete procedure.
Make sure that the invoice's payment history and outstanding balance agree with the payment received. A partial payment leaves an outstanding balance.
