Replenish stock
Use this workflow to purchase more stock from a vendor. The result is a purchase order and a completed goods receipt at the selected warehouse locations.
Examine the item and policy
- Open Inventory > Items.
- Find the item.
- Examine its sources and warehouse locations.
- Open Inventory > Planning.
- Find the item and expand its row.
- Examine the stock quantities, forecast, and replenishment policy.
- If necessary, change the policy inputs and select Save policy.
See Planning for policy types and inputs. Use Sourcing to correct vendor ordering details. Saving a policy does not create a purchase order.
Create a purchase order
- Open Purchasing > Recommendations.
- Select Generate.
- Wait for the task to finish.
- Expand a recommendation.
- Examine the vendor, quantities, costs, and expected date.
- Clear the acceptance checkbox for unwanted lines.
- Select Create draft.
- Open the draft in Purchasing > Orders.
- Do a check of its lines, warehouse, and delivery dates.
- Select Save and open.
For details, see Recommendations. If you already know what to purchase, create a purchase order directly.
Creating or opening the purchase order does not send it to the vendor or receive stock. Use your normal vendor ordering process to place the purchase.
Receive the delivery
- When the goods arrive, find the purchase order.
- Select Receive goods.
- Compare the receipt lines with the delivery.
- Enter the actual quantities in Received.
- Select Put away locations for the items.
- Select Complete receipt.
- Make sure that the receipt shows Completed.
Follow Goods Receipts for partial deliveries and receipt corrections. Completion adds the received quantities to stock and updates the linked purchase order's received quantities.
Record the vendor bill
When the vendor bill arrives, use Create bill on the completed receipt. Examine the copied quantities and costs before posting the bill. See Bills for posting and payment instructions.
Posting the bill records the amount owed. It does not receive more stock or transfer money to the vendor.
