Goods Receipts
Use Purchasing > Goods Receipts to record goods that arrive at a warehouse. Complete the receipt to add the received quantities to stock.
Start a goods receipt
- Open Purchasing > Goods Receipts.
- Select New goods receipt.
- In Source purchase order, select the purchase order, if applicable.
- Do a check of Vendor.
- Select Warehouse.
- Enter Receipt number, if you use your own number.
- Enter Received by, if necessary.
You can also select Receive goods from a purchase order. The receipt form then uses that purchase order as its source.
The purchase order supplies the receipt lines. For a receipt without a purchase order, select each item and use Add line for additional items.
Record the quantities
- Compare the receipt lines with the goods that arrived.
- In Received, enter the quantity that arrived for each line.
- In Put away, select the stock location for each item.
- Enter line notes, if necessary.
- Select Save draft to continue the receipt later.
Expected shows the expected quantity. Use the actual quantity in Received when the delivery differs from the purchase order. Each saved line must have a received quantity greater than zero. Remove a line when none of that item arrived.
The location selector shows locations for the item in the selected warehouse. If necessary, use the selector to assign an additional warehouse location to the item. The assignment alone does not add stock.
Complete the receipt
Completion creates the stock receipt at each line's selected location. For linked purchase order lines, it also updates the received quantities.
- Do a check of the warehouse, items, received quantities, and put-away locations.
- Select Complete receipt.
- Make sure that the receipt shows Completed in the receipt list.
Every line needs a put-away location before completion. A draft does not add the goods to stock.
If completion reports an error, correct the specified quantity, item, or location. Then select Complete receipt again.
Find or correct a receipt
Use Search goods receipts to find a receipt by number or notes. Use Filter by receipt status to reduce the list. Expand a receipt to compare its Expected and Received quantities.
Use Edit to change an unfinished receipt. Select Save changes to keep changes to an existing receipt.
For a draft or in-progress receipt, enter Cancellation reason and select Cancel receipt to stop it. A completed receipt has no edit or cancellation action in this form. Use an RTV when completed goods must return to the vendor.
Create related documents
Use Create bill on a completed receipt to start a vendor bill. Use Create RTV to start a vendor return from the receipt. The source document supplies the linked lines for the new document.
