Vendors

Use Purchasing > Vendors to maintain the vendor accounts used by purchasing documents.

Create a vendor

  1. Open Purchasing > Vendors.
  2. Select New vendor.
  3. Enter Vendor code and Vendor name.
  4. Enter Legal name, if different from the vendor name.
  5. Set Currency.
  6. Enter Contact email and Contact phone, if necessary.
  7. Select Payment terms, if applicable.
  8. Enter Contract reference, if necessary.
  9. Enter the Default remit address.
  10. Set the Default return address.
  11. Enter Notes, if necessary.
  12. Do a check of the vendor summary.
  13. Select Create vendor.

The remit address needs an address line. If returns use that address, keep Return address is the same as remit address selected. Otherwise, clear the checkbox and enter the return address.

The application saves the vendor and its default address entries. The vendor becomes available for purchasing documents.

Find and edit a vendor

  1. Open Purchasing > Vendors.
  2. Find the vendor in the list.
  3. Select Edit vendor for that vendor.
  4. Change the necessary account fields or addresses.
  5. Select Save vendor.

Do a check of the vendor summary after you save. Changes to the vendor account do not create a purchase order, receipt, or bill.

Set vendor controls

Use On hold to identify a vendor that needs purchasing inspection. Use Excluded to exclude the vendor from standard vendor selection. Select Save vendor after you change these controls.

Clear the applicable control and save the vendor when the restriction no longer applies.

Disable or reactivate a vendor

Use Disable vendor in the vendor row actions when the account must become inactive. Use Reactivate vendor to make the account active again. Do a check of the vendor status after the action.

Set item sourcing

The vendor account holds the vendor's general details. Use Sourcing for the relationship between a vendor and an item. That page holds vendor item codes, purchase quantities, lead times, and sourcing costs.
