Vendor Credits
Use Purchasing > Vendor Credits to record a vendor credit or debit note. Apply the posted credit to reduce the outstanding amount on a vendor bill.
Create a credit
- Open Purchasing > Vendor Credits.
- Select New vendor credit.
- Select Vendor.
- In Source, select Vendor bill or RTV, if applicable.
- Select Kind.
- Set Credit date.
- Enter Vendor reference and Reason, if necessary.
- Do a check of Currency.
- Do a check of each line's description, quantity, and unit cost.
- Use Add line for additional lines.
- Enter Tax, if necessary.
- Do a check of Total credit.
- Select Save draft or Save and post.
Use Credit note when the vendor sends you the credit document. Use Debit note when your company creates the claim against the vendor. Both kinds can reduce what you owe the vendor.
You can also start from Create vendor credit on a bill or RTV. Do a check of the copied lines. Remove lines or reduce quantities when the credit covers only part of the source document.
Save draft keeps the credit editable. Save and post makes the credit available for application to a bill. Posting alone does not apply it to a bill or change stock.
Apply a credit to a bill
Application reduces both the credit's remaining amount and the bill's outstanding amount. The application cannot be reversed in this interface.
- Open a posted credit with a remaining amount.
- Select Apply to bill.
- Select the bill.
- Set Applied on.
- Enter Amount.
- Enter Notes, if necessary.
- Do a check of the bill and amount.
- Select Apply credit.
The bill must belong to the same vendor and use the same currency. The amount must not exceed the remaining credit or the bill's outstanding balance.
Do a check of Applied, Remaining, and Applied to on the credit. Open the bill to see its updated credited and outstanding amounts. Apply the remaining credit to another posted bill with an outstanding balance when necessary.
Find or correct a credit
Use the list's search and status controls to find a credit. A credit can show Posted, Partially applied, or Applied, depending on its use.
Open a draft to correct its fields or lines. Select Save draft to keep the changes.
Use Void credit for an unused draft or posted credit when the action is available. A credit with an applied amount cannot be voided.
