Items
Use Inventory > Items to create and manage items. Expand an item to see its variants and operating details.
Find an item
- Open the project.
- Open Inventory.
- Select Items.
- Enter the item code, name, or SKU in Search items....
- Expand the item row.
A stock keeping unit (SKU) identifies an individual item or variant. An item with variants groups those variants under one parent item.
Use Previous and Next to move between pages. Use Column settings to select the item, variant, and detail columns.
Create an item
- Select New item.
- Enter the new item's SKU and Name in the new row.
- Expand the row.
- Select Item details.
- Select Type.
- Select UOM for the stock unit of measure.
- If applicable, enter Unit cost and Description.
- Select Save changes.
Convexity creates the parent item and its first item record. The item appears in the table after the save succeeds.
If a save fails, read the displayed error. Correct the specified fields before you save again.
Edit items
- Open More item actions.
- Select Edit Items.
- Expand the item to change.
- Change the applicable fields.
- Select Save changes.
Use the same edit session to change item names, descriptions, attributes, and active status.
To discard unsaved edits, open More item actions and select Cancel changes.
Add variants
Variants represent different versions of an item, such as sizes or colors.
- Expand the parent item.
- Open More item actions.
- Select Edit Items.
- If necessary, select Add attribute to attach an attribute to the parent.
- Select Variants.
- Select New Variant.
- Enter a unique SKU and a name for the variant.
- Select the applicable attribute options.
- Select Save changes.
To add an option during entry, open the attribute option selector and select Add option. Enter the option and select Add option in the dialog.
To define new attributes, use Inventory settings.
Set item prices
Create the named price list in Inventory settings. Then add the item price here.
- Expand the item or variant.
- Select Prices.
- Select Add price.
- Select the list in Price Lists.
- Enter Price.
- Select Add price.
The price list supplies the currency. Outside an edit session, Add price saves the new price immediately. In an Edit Items session, select Save changes to save the new price.
To change an existing price, select Edit Items, change the list's price field, and select Save changes. A saved item price is available to document pricing when that list applies.
Add an item source
A source links an item to a vendor. It can contain the vendor's item code, purchase unit, cost, and ordering rules.
- Expand the item or variant.
- Select Sourcing.
- Select Add source.
- Select Vendor.
- If applicable, enter Vendor item code, Unit cost, and Origin country.
- Set Lead time, Minimum order, Order multiple, and UOM as applicable.
- Set Primary or Dropship enabled as applicable.
- Select Save source.
In an Edit Items session, select Save changes to save source edits instead. Use Remove source in that session to remove a source from active use.
Examine warehouse locations and orders
Expand the item or variant and select the applicable detail tab:
| Tab | Use |
|---|---|
| Warehousing | Examine location assignments and stock quantities by location. |
| Sales Orders | Find sales order lines for the item. |
| Purchase Orders | Find purchase order lines for the item. |
| Inventory planning | Examine demand, forecasts, and replenishment policy details. |
To add a location assignment:
- In Warehousing, select Assign location.
- Select an active warehouse location.
- Select Assign location in the dialog.
This assignment does not move stock. A location can contain stock without an item assignment; that location shows Overflow.
Correct a stock quantity
A stock adjustment changes the recorded stock balance. Enter the counted total, rather than the difference from the current balance.
- Expand the item.
- Select Actions.
- Select Adjust stock.
- Select Item and Location.
- Select Continue.
- Enter Counted stock level.
- Select the applicable Supplier location or Scrap location when shown.
- Enter the reason in Notes.
- Examine System balance and Delta.
- Select Post adjustment.
Convexity posts the difference between the counted quantity and the recorded quantity. The item quantities refresh after the adjustment succeeds.
Where On hand permits direct entry, enter the counted total and select Save, or press Enter. Leaving the field does not save it. Select Revert, or press Escape, to discard the entry.
If multiple warehouse locations are active, use the location detail or stock adjustment dialog for the correct location.
Import or export items
- Select Import.
- Select Download CSV template.
- Enter one row per variant in the file.
- Select the completed CSV or Excel file.
- Select Upload & validate.
- Examine the validation result and preview.
- If validation reports errors, correct the file and upload it again.
- Select Import to apply the validated file.
- Wait for Import complete.
- Select Back to items.
Validation does not apply the file. The second Import action starts the changes. The completion page reports the created and updated records.
To download the visible rows, select Export from the Items table.
Deactivate an item
- Expand the item.
- Select Actions.
- Select Deactivate.
The item remains in the records with an inactive status. Use Reactivate to make the item active again.
